Running the business from Meridian: the daily dashboard sweep, a weekly and monthly rhythm, and where every money task lives.
This section is for the person who runs the numbers — owner, manager, or bookkeeper. The pattern that works: a two-minute dashboard sweep every morning, a weekly pass over receivables and payables, and a month-end close built on four reports. Everything below is written around that rhythm.
The daily dashboard sweep
Start every day here. The dashboard is the first page you land on, and two minutes is enough to know whether today is normal or not.
Read the four cards. Across the top: Open Orders (work in the building), Month Revenue (with the percent change against last month), Today's Appointments, and Outstanding AR (every dollar customers owe you). If Month Revenue is tracking down and Open Orders is up, work is stacking instead of closing — that's your morning question for the service desk.
Glance at the 12-Month Revenue chart. The bar chart under the cards shows the last twelve months, with the current month highlighted. You're looking for shape, not precision: is this month's bar on pace with the same point last month?
Act on the alert banners. When something needs attention, amber banners appear under the chart. Orders past their promise date link to View open orders; parts at or below reorder point link to Review inventory. No banners is the goal — it means promises are being kept and the shelves are stocked.
Skim Recent Orders and Today's Appointments. The Recent Orders table shows the latest tickets with status and totals — click any order number to open it. Today's Appointments shows what's booked, who it's assigned to, and links to the schedule. Done — that's the sweep.
The weekly and monthly rhythm
Weekly (pick a day and keep it):
- Open Accounting → AR Aging and call the top of the 90+ column. Work the aging report.
- Open Accounting → Accounts Payable and pay what's due before it goes overdue. Pay your vendors.
- Read the latest Foreman briefing — it ranks what's worth a look so you don't have to hunt.
- Check the Fleet PM Dashboard for overdue units — that's booked revenue waiting for a phone call.
Monthly (the close):
- Run the four month-end reports: Gross Profit, Sales Tax, Payroll Prep, Tech Productivity.
- Generate and email statements to every customer with a balance.
- If you keep books in QuickBooks Desktop, confirm the daily journal export is caught up through month end.
- Spot-check the general ledger — the Accounting page's AR Balance, Month Revenue, and YTD Revenue cards should match your expectations before the books leave the building.
