Frequently asked questions
Quick answers to the questions new shops ask in their first weeks on Meridian.
That's the role doing its job. Technicians see orders, customers, inventory, and their own time — not the books. Accounting screens are limited to owners, managers, and the accounting role. If one person genuinely needs more, an owner can grant that single ability from Settings → Users without changing their role. See Who can do what.
Yes. Closing archives a ticket, it doesn't lock it — open the order and use Actions → Mark In Progress to put it back in the working queue. Keep in mind the money already posted when it was invoiced stays posted; if the whole ticket was a mistake, voiding it is the move that reverses the books.
Receive what actually showed up. The PO flips to Partially Received and stays open for the balance — the received parts go on the shelf and into your numbers immediately, and you receive the rest against the same PO when the backorder arrives. Nothing is lost by receiving in pieces.
Both live in Settings. Add a shop, warehouse, or satellite under Settings → Locations; add a mobile unit under Settings → Service Trucks. A service truck acts like its own small location — it carries its own van inventory and its own profit numbers — and once added, the location switcher in the header lets you view any location's stock and work.
Your shop has auto-invoicing turned on. With that setting enabled, marking a job Completed finalizes the invoice in the same step — one click instead of two. If you'd rather review tickets before they bill, turn the setting off and invoice from the order page with Finalize as Invoice.
Your shop requires mileage at intake — a preventive-maintenance setting. PM forecasting is only as good as the meter readings behind it, so Meridian holds the door: a repair or PM ticket on a vehicle can't be completed, invoiced, or closed until the intake odometer is entered. Add the mileage on the order and finish as usual.
Two ways. Send a text-to-pay or email-to-pay link from the order — the customer taps it and pays on their phone, no login needed. Or, for account customers on the customer portal, they can sign in to see open invoices and statements and pay one invoice or a lump sum on account, oldest invoices first. Either way the payment lands on the order and posts to your books automatically.
Pricing tiers. Every part carries several price levels (List, Retail, Fleet, Wholesale, Special), and every customer is assigned one — so a fleet account and a walk-in get their own numbers automatically when a part is added to an order. Labor works the same way: a customer can carry a negotiated labor rate that overrides the shop default. Set both on the customer's record.
Yes. Roles are the starting point, and owners can grant or revoke individual abilities per person — give your shop foreman purchase-order access, or let one trusted advisor void payments — from Settings → Users. The person keeps their role; only the one ability changes.
