Create a part
Add a new part to the catalog with pricing tiers, bin locations, and stocking levels.
Do this whenever a new part hits your shelf for the first time — a filter line you're picking up, a special-order item you want to track, or anything else that needs a spot in the catalog. You'll create the part with the basics, then open the editor to layer in extra pricing tiers, more bins, and min/max stocking.
Open the catalog. In the sidebar, click Parts & Inventory, then Parts Catalog.
Click New Part in the top-right corner. The New Part form opens.
Fill in Part Info. Enter the Part Number (like FF-5541) and a Description (like Fuel Filter). These two are required. Add a Category (like FILTERS), a Line Code (like FLT), and pick a Unit — EA for each, QT for quart, and so on.
Set the starting prices. In the Pricing section, enter Cost Price (what you pay) and your selling prices — List Price, Retail Price, and Fleet Price. Leave Taxable checked unless this part is tax-exempt.
Set the starting stock. In the Stock section, enter Qty On Hand (what's on the shelf right now), the primary Bin Location (like A-01-01), a Reorder Point (when the part shows up on the reorder report), and a Reorder Qty (how many to order at a time). Leave Stocked Item checked for anything you keep on the shelf.
Click Create Part. Meridian saves the part and opens its detail page.
Click Edit to finish the setup. The full editor opens with tabs for Basic, Pricing, Stock, Core, and Settings. On the Pricing tab you can add the remaining tiers — Wholesale Price, Special Price, Labor Flat Rate, and Core Deposit Price for parts that carry a refundable core charge.
Add more bins and stocking limits. On the Stock tab, set Min Stock and Max Stock, then add bins under Bin Locations — type a bin (like A-01-02) and click Add bin. The first bin in the list is tagged Primary; add as many as the part lives in. Click the X on a chip to remove a bin.
Click Save Changes. The part is fully set up and ready to sell, order, and count.
What happens behind the scenes
- The part joins your org-wide catalog — every location sees the same part number, description, and pricing.
- Stock is tracked per location. Qty on hand, bins, min/max, and reorder settings you enter apply to the location you're viewing in the location switcher (your primary location when "All locations" is selected). Other locations start at zero until you receive or transfer stock there.
- Once the part is below its reorder point, it shows up on the reorder report and the Low Stock tab in the catalog automatically.
- If a vendor is set up as a supplier source for the part, the detail page lists them under Supplier Sources with their vendor part number, cost, and lead time — the reorder report uses the preferred source to group parts by vendor.
Troubleshooting
Part numbers must be unique in your shop's catalog. Search the catalog for the number first — the part may already exist as inactive or under a different description. Open the existing part and update it instead of creating a duplicate.
Check the filters at the top of the catalog. If the Low Stock tab or a category pill is active, the list only shows parts matching that filter. Also make sure the part's Active box (Edit, then the Settings tab) is checked.
Stock counts are per location. The quantity you entered on the New Part form landed at the location you were viewing when you created it. Switch locations with the location switcher to confirm where the stock lives, then use an inventory transfer to move it.
The New Part form covers the basics only. After you create the part, click Edit on the detail page — the Pricing tab has all eight tiers, including Wholesale, Special, Labor Flat Rate, and Core Deposit.
